The Reactivation Process

What Needs to Happen

The College of St. David must meet two sets of criteria before it can come out of abeyance: It must become an official UCSC Campus club, and must also address the SCA's requirements.

SCA Requirements

At this time, there is (technically) no College of St. David. It exists only as an idea. However, by working with the Canton of Caer Darth to meet the following SCA requirements, the CSD can reclaim its name & heraldry, and become recognized as an Incipient SCA college. To be fully reactivated, the Incipient college must pass the West Kingdom Seneschal's Status Review.

Here are the SCA requirements:

  1. The College of St. David (CSD) must have at least five paid SCA members who are also students, faculty, and/or employees of UCSC.
  2. The CSD must have at least three officers; a Seneschal, an Exchequer, and one of the following: a Herald, a Marshal, or a Minister of Arts & Sciences.
  3. The CSD must register as an official UCSC campus club.
  4. The CSD must undergo and pass a Status Review conducted by the Kingdom Seneschal.

Requirement #1: At Least Five Paid SCA Members

To become a paid SCA member, visit the SCA.org Membership Page. Read the information posted there about membership and waivers, then choose the best membership type for you and use either the online or the downloadable forms to become a member.

Please notify your Canton Liaison and/or the Canton Seneschal if you are a paid SCA member who is a UCSC student, faculty member, and/or employee and wish to be counted toward meeting this requirement.

Requirement #2: At Least Three College Officers

For the college to be recognized as a viable group by the SCA it must have at least three officers; a Seneschal, an Exchequer, and one of the following: a Herald, a Marshal, or a Minister of Arts & Sciences.

Please note that only those officers who are both paid SCA members and current UCSC students, faculty, and/or employees may count toward meeting this requirement. While it is acceptable for a paid SCA member who is not directly affiliated with UCSC to hold an office within the College of St. David, that officer can not count towards meeting this "three officers" requirement.

Requirement #3: Become an Official UCSC Campus Club

Your Canton Liaison has researched the process of how to make your group into an official UCSC campus club and posted the steps to the "UCSC Requirements" portion of this page.

Requirement #4: Status Review

Six months after the date on which the College of St. David was declared to be in abeyance, the West Kingdom Seneschal will conduct a Status Review to assess whether the Incipient college displays sufficient evidence of sustainability as to warrant its full reinstatement as in independent branch group of the SCA. The Status Review date is October 8th, 2008.

UCSC Requirements

As mentioned above, one step towards pulling the College of St. David out of abeyance is for it to become an official UCSC Campus club. The UCSC department responsible for campus organizations is SOAR . The way to become an official UCSC campus club is to register with SOAR (Student Organization Advising and Resources) as a "Student Organization." They have an excellent website set up for student use at "http://www.soar.ucsc.edu/".

SOAR Registration Process

  1. Get "Application for Annual Registration" form from SOAR office, and complete it.
    1. This form must be submitted between the first and last days of the Fall Quarter.
    2. Four "Signers" are required for organization registration. These Signers are legally and financially responsible for everything the organization does, and only they may handle/sign for the organization's funds. All Signers must be registered UCSC students (campus residency is not required, only UCSC enrollment) and must personally sign the registration form.
    3. Your SOAR advisor for that academic year will be assigned once your completed application has been turned in.

  2. All Signers must complete the SOAR online orientation and pass the related quiz. (When you are happy with your quiz score, fill in the "First Name," "Last Name," and "Organization" boxes at the bottom of the page and then click the "Send score to SOAR office" button.)


  3. Draft a Constitution for your organization, referencing the "Write a Constitution" guide listed below. Fill-in-the-blanks constitution creation forms are also available.
    1. Constitution should include allowance for and rules to govern "non-student participation."


  4. Request a SOAR advisor, through the SOAR office.

  5. Meet with your SOAR advisor to review your Constitution. After all revisions are done, get the final version of your Constitution approved by your SOAR Advisor.

  6. Submit Registration form (with Constitution) to SOAR. It is unclear whether these two documents may be submitted via your SOAR Advisor or must be handed in at the SOAR office.

  7. SOAR registration is only valid until the end of that academic year, and must be repeated every Fall. The renewal process is identical to that shown in Steps 1 - 6, except that you need only verify that your Constitution is still on file, rather than write up a new one each year.

SCA Funding

The SCA does not provide funding for its branch groups. However, all of the College of St. David's financial needs will be met by the Canton of Caer Darth until Incipient College status is achieved. After that, the CSD may request funds from UCSC and engage in whatever manner of fundraising activities are deemed appropriate by their officers and SCA advisors.

UCSC Funding

Funding, while necessary in the day-to-day operation of student organizations is not in any way related to the UCSC SOAR registration process. Once registered, however, the student organization may apply for On Campus Grants and/or engage in fundraising activities of whatever types work best for them.

Every registered UCSC student organization is assigned a "SOAR Account," into which all grant and fundraiser monies is supposed to go. Specifics on how to acquire grant funds and manage this account are spelled out at a very useful level of detail throughout the SOAR website, as well as in their online orientation video.
